Proofreading and copy-editing... the differences

People are often unclear about how the two disciplines differ, so here’s a guide to the main aspects of each role:

Copy-editing
  • checking spelling, grammar and punctuation in raw or draft text
  • making changes for flow and tone
  • applying house style and ensuring consistency
  • formatting references and citations
  • numbering tables, figures and illustrations
  • querying factual inaccuracies
  • highlighting legal issues
  • marking up an index.

Proofreading
  • working on edited text in the final layout
  • checking remaining errors in spelling, grammar and punctuation
  • making minor changes for sense
  • ensuring page elements are consistent
  • checking tables, illustrations and references
  • checking formatting of references
  • making sure the index is formatted correctly.

Hear it from my clients...

Keith has been an invaluable source of help for me over the years. Extremely diligent and tremendously reliable, he's always been a key part of the team. Working within a large newspaper and magazine production hub, Keith has always been able to parachute in anywhere and pick up a new product and get to grips with it very quickly. Whether that's subbing, proofing or page design, Keith handles it all brilliantly. It has always been very helpful for me to have someone like Keith who I can trust completely with a publication. He's thorough and efficient and, just as importantly, a really lovely person to work with.
